VIENNA, VA, July 28, 2020 — The University of Washington on behalf of the UW Office of Public Records and Open Public Meetings (UW-OPR) selected ArkCase and ZyLAB ONE to provide an integrated, end-to-end solution that supports all aspects of the Public Records Act (PRA) process. ArkCase provides PRA request tracking, management and reporting, while ZyLAB ONE offers advanced collection, review, analytics and redaction capabilities from their eDiscovery platform.
Currently, UW-OPR receives electronic records equivalent to several millions of pages of data, information and video/audio recordings to review every year. It’s expected that this amount of information and data for review may grow by 20-30% annually. Therefore, an integrated PRA solution provided by ArkCase and ZyLAB is crucial in order to create an efficient and effective PRA management system to maintain regulatory compliance.
The PRA solution’s advanced collection and search capabilities will enable UW-OPR to efficiently collect and locate relevant documents. Advanced technologies like Assisted Review and auto-redaction of sensitive data could potentially significantly reduce cost, risk and time in UW-OPR’s review and redaction processes for disclosure of documents.
The PRA solution will also provide UW-OPR the tools necessary to deliver a thorough statistical and data analysis, which is critical to new reporting requirements under Washington State’s Public Records Law.
Additional potential benefits of using ArkCase and ZyLAB ONE include;
- Saves resources, time and costs
- Reduces institutional risk
- Monitors and ensures deadlines are met
- Documents all compliance decisions, actions and interactions
- Increases staff efficiencies by optimizing analytics
- Realizes increased compliance with HIPAA, FERPA and other privacy laws
- Drives business process automation by making content available electronically and accessible through integration with other applications
